Annual reporting requirements

Use TankActive's Location records to assemble the evidence your organization needs, while confirming jurisdiction-specific annual forms and deadlines outside the product. Use the labels and controls described below to complete this workflow in the current TankActive web app.

Does TankActive create an annual filing?

TankActive does not currently generate a bundled Annual Compliance Report or submit an annual filing to a regulator. The Monthly Leak Tests screen can show all returned tanks for a selected year and export that view as PDF or CSV, but the result remains a monthly leak-test history. It is not labeled or certified as a jurisdiction's annual form.

Annual obligations depend on the Location, tank system, operating status, jurisdiction, and applicable program. TankActive therefore does not publish a universal due date or claim that one product export covers every requirement. Confirm the required forms, period, approval, signatures, submission method, and retention time with the regulator or qualified compliance professional responsible for the Location.

How do I gather the available Location records?

PDF and CSV are available on most of these report screens; Sensor status currently provides PDF only. TankActive does not create a native Excel workbook or automatically combine the files into one annual package.

  1. 1Open the Location and review Reports & history.
  2. 2Open Leak test compliance, choose All tanks and the required Year, then select Load report.
  3. 3Review Leak test results and CSLD tests for the date range required by your reporting process.
  4. 4Review Alarm history, Sensor status, Delivery history, and Daily inventory when your organization or jurisdiction requires those supporting records.
  5. 5Export each loaded result in its available format and record the Location, tank selection, and reporting period used.

How do I review the evidence before submission?

A recorded status, a complete-looking year, or a successful export is not a regulatory acceptance decision. Have the responsible reviewer resolve discrepancies and determine whether supplemental device records, technician documents, or signed forms are required.

  • Confirm that every expected tank and month or date range is present.
  • Investigate empty results, missing months, Not reporting periods, or unexpected automatic tank gauge (ATG) timestamps.
  • Keep the original exports and document any later sorting, calculations, annotations, or file conversions.
  • Match the assembled records to the current form and instructions supplied by the receiving authority.

What if a required record is missing?

First confirm the correct Location, tank, year, and date range. Check the related report rather than substituting an inventory snapshot for a leak-test or CSLD record. If TankActive should have received the record from the connected ATG but it is absent, contact TankActive support with the Location and reporting period so the team can help investigate product availability.

Support can help locate or export information the product stores, but it cannot determine your legal obligation or guarantee regulator acceptance. Escalate requirement questions to the authority or compliance professional responsible for the filing.
